Who we are
APEXGUIDE (apexguide.co.uk) is a product of ONETIMEWEBSITES LTD, a company registered in England and Wales (company number 16773152), whose registered office is at 5th Floor, 167-169 Great Portland Street, London, England, W1W 5PF. ONETIMEWEBSITES LTD is responsible for your personal information under UK data protection law. In this policy "we" and "us" means APEXGUIDE. You can reach us through the contact page.
What we collect
If you create an account
- Your email address and password. Passwords are handled by our sign-in provider and are never stored in a readable form.
- The name you choose to show, if you add one.
- Your progress on each circuit: how far round the lap you got, how many laps you have completed and when you last visited.
We use these to run your account, keep you signed in and let you pick up where you left off. The legal basis is providing the service you asked for.
If you use the iPhone app
The app uses the same account as the website, so everything above applies to it too. In addition:
- Sign in with Apple. If you sign in with Apple, Apple gives us your email address (or a private relay address, if you choose to hide yours) and, the first time only, your name. Apple handles your Apple ID password; we never see it. When you delete your account we ask Apple to remove the link between your Apple ID and APEXGUIDE.
- Garage. If you add a car, we store what you enter about it: its make, model, number plate, mileage, MOT and service details, modifications, track day notes and checklists, plus any photos of the car and documents (such as MOT certificates, invoices or booking confirmations) you add. Photos and documents are kept in private storage that only your account can open; there are no public links to them. When you add a document, the app reads its text on your phone to suggest dates and details, and that text is stored with the document.
- Number plate lookup. If you look up your number plate, the app sends the plate to our server, which may check it against UK government vehicle records (DVSA and DVLA) to fill in your car's details. We don't log the plates you look up.
- Photo library and camera. The app only reaches the photos you pick or the pictures and scans you take for your Garage. It doesn't look at the rest of your library.
The app keeps a copy of your Garage, its photos and documents on your phone so it works offline; deleting the app or your account removes it. We use this information to provide the Garage you asked for. The legal basis is providing the service you asked for. The app has no adverts and no analytics, and doesn't track you across other apps or websites.
If you request a track day availability alert
We store your email address and the specific event you choose in private Cloudflare storage. We send a confirmation link through Resend, then activate the alert only after you confirm. We use this information with your consent to send one email if the organiser lists a place on that event. No account is required, and this does not subscribe you to marketing emails. You can cancel using the link in your confirmation email.
If you use the contact form
Your name, email address, message and the page you sent it from. We use them only to reply to you. The legal basis is our legitimate interest in answering your message.
Information stored on your device
The site saves a few settings in your browser's storage so it works the way you left it: your speed units, sound settings, simulator options, whether you have seen the intro, how many laps you have watched as a guest and, if you sign in, your sign-in session. This stays on your device and is not used to track you. Clearing this site's data in your browser removes it.
Google Analytics
We use Google Analytics to count visits and see which pages and circuits people use, so we can improve the site. We don't use it for advertising.
- If you press Accept on the cookie banner, Google Analytics sets cookies named
_gaand_ga_1QJGXLQ3RN, which last up to 2 years, so it can recognise return visits. The legal basis is your consent. - Until you choose, or if you decline, no analytics cookies are set. Google Analytics still receives a basic, cookieless record of each page view (the page, the time, and your browser and device type), which it uses to estimate visitor numbers without identifying you. The legal basis is our legitimate interest in knowing how the site is used.
When an APEXGUIDE circuit is shown inside another website (for example a track day organiser's page), there is no cookie banner and no analytics cookies are set. Only the cookieless record described above is sent.
In both cases Google receives your IP address when your browser contacts it, and does not store it in Analytics. We keep analytics data for 14 months at most. Your choice is saved in your browser for 12 months, and you can change it at any time with Cookie settings, also at the bottom of every page.
Technical information
Like every website, our hosting provider receives your IP address and basic details of each request (such as the page and your browser type) so it can deliver the site and protect it from attacks.
What we don't do
We don't show adverts, we don't set analytics cookies unless you accept them, and we never sell your information.
Who processes your information
- Cloudflare hosts and delivers the site and its 3D circuit files, and protects it from abuse.
- Resend delivers track day confirmation and availability emails to the address you provide.
- Supabase runs sign-in and stores account and progress information.
- 1Panel, the content system that holds our articles, stores messages sent through the contact form.
- Google Analytics (Google) measures how the site is used, as described above.
- Google Maps (Google) shows the map at the bottom of each circuit page. The map loads, and Google may set its own cookies, only if you have accepted cookies or press Show map. The Directions and Open in Google Maps links take you to Google only when you choose to.
- jsDelivr supplies the 3D graphics library used by the simulator. Your browser downloads it from their servers, which see your IP address when it does. The site's fonts are served from our own site.
Some of these providers may process information outside the UK. Where they do, they use safeguards recognised under UK law, such as the UK International Data Transfer Addendum or standard contractual clauses.
How long we keep it
- Account and progress information: until you delete your account or ask us to delete it.
- Track day alerts: until sent, cancelled or the event ends. Unconfirmed requests expire after 24 hours. A background cleanup removes expired records; Resend may retain its own delivery logs according to its retention settings.
- Analytics data: 14 months at most.
- Contact form messages: for as long as we need them to deal with your message, and no longer than 24 months.
Your rights
You can ask us for a copy of the information we hold about you, ask us to correct it or delete it, object to how we use it or ask for it in a portable format. You can change your name, email address and password, or delete your account and its data, yourself under Your account. For anything else, send a request through the contact page from the email address on your account.
If you are unhappy with how we have handled your information you can complain to the Information Commissioner's Office at ico.org.uk. We would appreciate the chance to put things right first.
Children
APEXGUIDE is not aimed at children under 13 and we don't knowingly collect their information.
Changes to this policy
If we change how we use your information we will update this page and the date at the top.
